As an extension of our services to readers, the Newberry Library offers the photoduplication options described below. While we will always try to accommodate the needs of our patrons, there will be occasions when we cannot provide a certain service due to the size or condition of the item, or because of copyright restrictions. In these cases, we will suggest alternative possibilities for duplication. The Library will reproduce copyrighted material only within the principle of "fair use" and the patron shall assume all responsibility in questions regarding copyright of library material. Copies supplied by the library must not be reproduced without first obtaining permission to do so from the library. Fees are based on costs to the Library and are used solely to provide this service to its readers. For information on Interlibrary Loan policies, please visit www.newberry.org/collections/ill.html.

How to Place An Order In Person

1. Materials must be paged to the reading room before an order can be placed in person. When you are ready to make a request, the staff at the Reading Room circulation desk can help you determine the proper reproduction format to meet your needs.

2. Staff will prepare an order form detailing the cost of your order. Please read the form and sign it.

3. Place your order by bringing the order form to the bookstore on the first floor of the library and by making a payment.

How to Place An Order In Writing

1. Please direct all inquiries in writing to the Reference Department via standard or electronic mail (reference@newberry.org). Telephone orders will not be accepted. Be as specific as possible about the item of interest, including the Newberry call number, if possible. Do not send cash or checks in advance. Depending on the complexity of the request, it may take up to four weeks to receive a response.

2. After your request is processed, you will receive an order form detailing the exact costs of your order. Read the form, sign it, and return it, along with your payment, to the Photoduplication Department.

For All Orders

1. The Newberry Library accepts payment via check, money order, or credit card account. All checks from foreign banks must be drawn in U.S. dollars at a bank affiliated with a U.S. bank.

2. Work begins when signed order forms and payment are received. Delivery times can be found in the listings for each service.

3. Inquiries about the status of an existing order should be directed to the Photoduplication Department (photoduplication@newberry.org).


Photocopy Services

The Newberry Library staff makes all photocopies.  There are no self-service copiers. The Newberry provides black and white copies on plain white paper. To protect bound volumes, copies of page spreads are not available. The staff reserves the right to refuse requests due to copyright, conservation, and workflow issues.

The following materials may not be photocopied:

Microfilm may be suggested as an alternative for fragile items, whole titles, or entire manuscript collections.

    In-person requests are usually ready within 24 hours. Requests by mail usually take 2-4 weeks from the date of payment. The size and complexity of your order, plus the number of already pending orders, affects delivery time.  Please consult with the staff for a more accurate delivery time estimate. 


    Microfilm Services

    Microfilm: Microfilm is a 35mm non-perforated black and white film. It is the preferred method for copying fragile materials and the most economical means for extensive copying. For complete titles a positive copy is supplied unless otherwise ordered. For partial titles only a negative copy is supplied. Each exposure can usually accommodate a double page spread.

    Copyflo: Copyflo is a positive paper copy made from a negative microfilm. This process is suggested as an alternative to xerographic copying of fragile materials and whole titles. Good reproduction of details in photos, drawings, and engravings or like materials is not possible in this format.

    Reader Printer: Reader printer is a positive copy made from microfilm. This process may be suggested as an alternative to xeroxing for orders involving partial titles. It is also more suitable for originals that contain detailed photos, drawings, and engravings and like materials. Readers visiting the Library make their own reader printer copies on the 2nd floor.

    Digital Files

    The Newberry offers digital files in two formats: JPEG (low resolution, study quality) and TIFF (high resolution, publication quality). TIFF files come in two resolutions: 300 dpi or 1600 dpi. To ensure quality, items larger than 11" x 14" must be ordered at 1600 dpi. Larger and/or highly detailed materials, especially maps, may require more than one exposure to accurately reproduce. For additional questions regarding appropriate file size, please consult with the Photoduplication Department. When ordering TIFF files, please indicate if for Mac or PC.

    Permission to Publish Newberry Materials

    To apply for permission to publish or reproduce images from the Newberry's collections, complete the Letter of Agreement for Use of Photographic Reproductions. This form can be sent to you or picked up at the Library. The Letter of Agreement does not grant copyright permission but rather permission to use photographs produced by our staff. Issues related to the use of copyrighted material are the sole responsibility of the applicant. Conditions for the Use of Photographic Reproductions are listed on the back of the Letter of Agreement. The user agrees to abide by these conditions when signing the letter. Send completed forms to the Photoduplication Department for approval. To allow time for processing, requests should be received at least one month prior to the date that permission is needed.

    In addition to the information in the letter of agreement, please provide the following information: A) The size of the image on the page (1/4 pg., 1/2 pg., full pg., or cover). B) The estimated print run of the publication. C) The rights being requested. D) Whether the publication is for profit or not-for-profit.

    For licensing fees for television, video or movies, please consult the Photoduplication Department.

    Fees are determined on a case by case basis. Please consult with the Photoduplication Department. In cases when the work is in the scope of the Newberry's collections, a complimentary copy of the work may be requested and fees reduced.
