Photoduplication Services

The Newberry Library offers the photoduplication options described below. Some services may not be possible due to the size/condition of an item, or because of the size/complexity of the request. In such cases, researchers are encouraged to visit the Library in person or hire an independent researcher. Digital cameras are allowed in the Reading Rooms, subject to certain conditions.

Newberry Library reference staff can also help researchers determine whether digital versions of certain items are available via
Google Books, the Internet Archive, or other databases. Staff can also help researchers search the Family History Library catalog for microfilmed versions of works.

The Newberry Library is represented by three stock photography companies: Stock Montage, Superstock, and Bridgeman Art Library.

The Newberry Library staff makes all photocopies. There are no self-service copiers. The Newberry provides black and white copies on plain white paper. Pages are photocopied singly; page spreads are not available. No more than 30 pages will be photocopied from any given volume or manuscript collection. The staff reserves the right to refuse requests and amend the pricing.

    In-person requests under 30 pages are usually ready the same day if orders are submitted by 3 pm. Larger orders will be mailed within 2 weeks.     Delivery Time

    Digital Files from Microfilm

    One of the Newberry's microfilm printers can convert microfilm images to digital files.  This self-service capability is free of charge and available during the Library's reading room hours.  If you are interested in learning how to best proceed in making digital files from a microfilm at the Newberry, contact genealogy@newberry.org or visit the Genealogy Reference Desk in person. 


    Genealogical Searches

    The Newberry offers some genealogical search services (city directory searches, census searches, etc.) for $7 per search. For more information, please see the Quick Search Service page (www.newberry.org/genealogy/quicksearch.html) or contact genealogy@newberry.org.


    Digital Images

    The Newberry offers digital images in two formats: JPEG (low resolution, study quality) and TIFF (high resolution, publication quality). To ensure quality, items larger than 11" x 14" must be ordered at 600 dpi. Larger and/or highly detailed materials, especially maps, may require more than one exposure to accurately reproduce them. When ordering TIFF files, please indicate if for Mac or PC.

    All orders for digital photography: 4-6 weeks.

    Rush orders are possible, but require higher fees. The Photoduplication Manager must approve all rush orders in advance. To guarantee rush delivery times, Federal Express or other a courier service must be used, and higher mailing charges will apply.

    Pullman Drawings

    Digitial reproductions (TIFF files) are available for many of the Pullman drawings and blueprints in the Pullman Archives. For more information on the Pullman Collection, visit www.newberry.org/collections/railroad.html. Some Pullman blueprints may be viewed here.

    Delivery Time

    All orders for Pullman drawings: 4-6 weeks, $6.00.


    Permissions

    To apply for permission to publish or reproduce images from the Newberry's collections, complete the Letter of Agreement for Use of Photographic Reproductions (PDF). The Letter of Agreement does not grant copyright permission but rather permission to use photographs produced by our staff. Issues related to the use of copyrighted material are the sole responsibility of the applicant. Conditions for the Use of Photographic Reproductions are listed on the back of the Letter of Agreement. The user agrees to abide by these conditions when signing the letter. Send completed forms to the Photoduplication Department for approval. To allow time for processing, requests should be received at least one month prior to the date that permission is needed.

    In addition to the information in the letter of agreement, please provide the following information: A) The size of the image on the page (1/4 pg., 1/2 pg., full pg., or cover). B) The estimated print run of the publication. C) The rights being requested. D) Whether the publication is for profit or not-for-profit. For licensing fees for television, video or movies, please consult the Photoduplication Department. Fees are determined on a case by case basis. Please consult with the Photoduplication Department. In cases when the work is in the scope of the Newberry's collections, a complimentary copy of the work may be requested and fees reduced.

    Frequently Asked Questions

    1. How do I place an order?

      To Place An Order In Person

      a. Materials must be paged to the reading room before an order can be placed in person. When you are ready to make a request, the staff at the Reading Room circulation desk can help you determine the proper reproduction format to meet your needs.

      b. Staff will prepare an order form detailing the cost of your order. Please read the form and sign it.

      c. Place your order by bringing the order form to the bookstore on the first floor of the library and by making a payment.

      To Place An Order In Writing

      a. Please direct all inquiries in writing to the Reference Department via standard or electronic mail (reference@newberry.org). Telephone orders will not be accepted. Be as specific as possible about the item of interest, including the Newberry call number, if possible. Do not send cash or checks in advance. Depending on the complexity of the request, and the number of pending orders, it may take up to four weeks to receive a response.

      b. After your request is processed, you will receive an order form detailing the exact costs of your order. Read the form, sign it, and return it, along with your payment, to the person who sent you the estimate.

      For All Orders

      a. The Newberry Library accepts payment via check, money order, or credit card account. All checks from foreign banks must be drawn in U.S. dollars at a bank affiliated with a U.S. bank.

      b. Work begins when signed order forms and payment are received. Delivery times can be found in the listings for each service.

      c. Inquiries about the status of an existing order should be directed to the Reference Department (reference@newberry.org).

    2. How long before I receive my order?
      An order may take from a few days to several months depending on the size, complexity, condition of original materials, availability of source materials, and other factors. Contact the Photoduplication Department regarding completion dates for various formats.

    3. How can I pay for an order? How long is the quote valid for?
      The Photoduplication Department can accept a variety of payment methods: Credit Cards (Visa, MasterCard, American Express, Discover), Money Orders (drawn on a U.S. bank), and Checks (drawn on a U.S. bank). Quotes are valid for 60 days after receipt of the quote.

    4. Will my request be subject to copyright laws?
      The Newberry operates in full compliance with all United States copyright laws. The Library also has specific guidelines and conditions for copying materials for libraries and archives and for individuals requesting materials. If we cannot complete your order because of restrictions, we will notify you in a timely manner.
